Experience:

At lease 3 years experience of finance and administration. He/ She should be proficient in use of computers and all software related to office work including, word processing, spreadsheets and databases. He/ She should preferably be familiar with the standard procedures of finance and admin and any financial software.

Description:
 

Under the overall guidance of the Provincial Project Director(PPD), direct supervision of the Provincial Project Coordinator (PPC) and in coordination with Admin & Finance Officer (AFO) at National Coordination Unit, the Admin & Finance Assistant will perform the following accounting and administrative tasks for the Provincial Coordination Unit (PCU): -
 
  • Ensure that appropriate finance system is maintained and all procedures and control are implemented.
  • Ensure that all transactions are properly accounted for and recorded;
  • Manage bank and petty cash accounts, Maintaining and updating all ledgers as required under the PCOM V: 4.0;
  • Assist the PPC in preparing the budgets, Quarterly advance Request;
  • Review the financial reports of the Pilot Project IP’s including vouchers and prepare quarterly reports for PPD,PPC and NCU before the release of next grant trench to IP’s.
  • Maintaining and updating project personnel records including attendance, leave records etc;
  • Assisting in the provision of support services including accounting, travel and secretarial services;
  • Assisting in the procurement/maintenance of the office equipments and its set up;
  • Maintaining and updating project equipment inventories;
  • General correspondence/co-ordination with NCU and Pilot Projects Implementing partners(IP);
  • Prepare the periodic accounting reports, Bank Reconciliations and ensure the timely submission of these reports to NCU.  
  • Responsibilities for day to day administrative affairs of the PCU;
  • Any other task assigned by the Provincial Project Coordinator;
