Description (TORs)

The Programme/Administrative Associate will provide core professional assistance and support to the Unit Chief and the Programme Officer.

More specifically the responsibilities include

Assist Unit Chief and Programme Officer in connection with project implementation in a manner to achieve reasonable delivery rate through timely processing of budget revisions, quarterly advances and logistical requests.

Assist Programme Officers and Project Counterparts in preparation/processing of project documents, financial reports, recruitments, procurements and entering necessary data of the assigned projects in Atlas.

Process payments, making of requisitions, checking of project budgets/expenditures and generate various reports through ERP system (Atlas). Undertakes project-monitoring visits to discuss matters of common interests.

Timely management of assigned projects with coordination of relevant Programme Officers to ensure compliance of PCOM guidelines by the project management to pre-empt audit observations and ensure judicious use of project

Provides regular assistance to Unit colleagues in preparation of cost-sharing agreements, TTF agreements and new project formulations in order to achieve the target of resource mobilization

Drafts routine letters, preparation of power point presentations, providing inputs to Unit Work plan and responding e-mail communications of different natures on daily basis.

Coordinate with PRMU and other colleagues in the Development and Operations Division for follow-up actions to ensure timely completion of desired actions.

Provide training and orientation to new staff members/project staff and also shares experiences with other colleagues.

Facilitate local and international missions including logistical arrangements, payments, security clearance, arranging appointments and meetings.

Supervision: The Programme/Administrative Associate will work with and report to Assistant Resident Representative (Programme) and the Programme Officer, to exchange information necessary to carry out work or provide service. The terms and conditions of contract will be in accordance with UNDP Personnel Manual.
