The position requires at least 3 years experience as office/logistic Assistant in an international organization. Experience in handling administrative matters and complete command on software packages (MS Word, MS Excel and PowerPoint) as well as in handling web based management systems. Proficiency in written and spoken English will be the prerequisite.


Ministry of Environment is implementing first phase of a UNDP-GEF & GoP funded project on “Sustainable Land Management to combat Desertification in Pakistan”. The overall goal of the project is to combat land degradation and desertification in Pakistan in order to protect and restore ecosystems and essential ecosystem services that are key to reducing poverty.
Scope of  Work
The Office/Logistic Assistant will be responsible in managing filing system and providing administrative support to the National Coordination Unit (NCU), SLMP in running day to day operations. The Office Assistant will directly report to the Admin and Finance Officer with additional reporting line to the National Project Coordinator. He/she will work in close collaboration with thematic experts and other team members at the NCU.
The terms of reference for the position include the following:
-        Making logistical arrangements for the project staff to make sure smooth operations, including maintenance of logbooks of vehicles and other project equipment.
-        Arrangement of vehicle transportation, regular vehicle maintenance & insurance.
-        Assist in handling administrative matters of the project, including workshops, meetings, seminars, retreats, etc
-        Carrying out typing works including drafting reports, memo, general correspondence etc.,
-        Coordination of travel arrangements and hotel reservation,
-        Support to office maintenance and assets management
-        Custodian for management of office stationery supplies including maintenance of stock list and distribution of stationery as required by the staff.
-        Prepare multimedia presentations and take notes at the meetings.
-        Maintaining leave record of the project staff
-        Maintenance of the filing system ensuring safekeeping of confidential materials
-        Follow up on deadlines, commitments made, action taken and coordination of collection & submission of the reports to technical experts and the National Project Coordinator.
-        Maintaining inventory of the non-expendable equipment, including tagging of the inventory items.

-        Any other duty as assigned by the Admin and Finance officer and the National Project Coordinator.
