The Administrative and Finance Officer will be responsible for the following
Assist in the preparation and processing of payments requests, financial and travel claims, record keeping and any other administrative and financial task/document in line with PCOM rules, to assist the National Project Manager in day-to-day management of the project.
Prepare and maintain all financial records.
Prepare project budgets and maintain financial disbursement and monitoring systems.
Act as focal point for audit.
Prepare and maintain the ledger for monitoring financial commitments, monthly financial statements, and non-expendable property ledger.
Prepare contracts for the project staff, process medical, insurance and pension fund claims.
Handle all financial issues related to workshops, meetings and seminars.
Make travel arrangements for project staff and assists in processing the travel claims.
Dispatches mail and maintain reference files on various subjects.
Assist with all administrative and logistical arrangements for meetings, workshops and conferences.
Acts as leave monitor for projects staff members.
Maintain a proper filing system for the project.
Maintain a list of addresses/phone numbers of counterparts and organizations.
Any other duties as required.
Assist in the processing of financial claims and facilitate approval through ensuring appropriate documentation and record keeping in line with UNDPs rules;
Supervise the work of support staff;
Perform any other duties as required.
Supervision The Administrative and finance Officer will report to the National Project Manager. The terms and conditions of contract will be in accordance with PCOM guidelines
