Experience:

3 years of work experience in project work preferably in administration and finance. Experience in a UN administered project is desirable.

Excellent computer skills; advanced Knowledge of Word, Excel and PowerPoint is desirable.

Excellent knowledge of both spoken and written English. Knowledge of local language would be an added advantage.

Description:
 

Under the overall guidance of the UNODC Country Representative Pakistan and direct supervision of Drugs & HIV/AIDS Adviser, the Project Assistant will ensure timely delivery of the project outputs.
More specifically, the incumbent will:

 Make the necessary administrative and logistical arrangements for meetings, study tours, conferences;
 Make travel arrangements for Drugs & HIV Adviser and project staff;
 For procurement purposes, acquire the necessary documents to prepare a case to be submitted to the Procurement Committee;
 Maintain a proper filing system/inventory of the project and also undertake encoding of documents;
 Assist the Project Officer (PO) to liaise and follow up with various NGOs, government departments for project-related activities;
 Assist the Project Officer (PO) to consolidate monthly NGO reports;
 Maintain a roster of contacts for important counterparts and relevant GOP/ Civil society  organization’s officials  as well as Vendors;
 Assist the Project Officer (PO) in drafting correspondence, as required on general, administrative  and specialized tasks within assigned areas of responsibility and  ensure follow up system;

Financial Duties:

 Maintain financial records for project and ensure timely reporting;
 Maintain financial disbursement/ IOV reconciliation and data quality monitoring systems;
 Assist the Project Officer (PO) in calculating and compiling costs estimates and projected budget requirements and preparation of budget statements;
 Prepare and process payment requests/travel claims and ensure appropriate documentation, record keeping  and liaison with UNDP for payment follow-ups;
 Assist the Project Officer (PO) in carrying out routine budget revisions;
 Assist the Project Officer (PO) in processing financial claims and facilitate approval through ensuring appropriate documentation and record keeping;
 Assist the Project Officer (PO) in financial matters of workshops, meetings and conferences organized under the related project;
 Perform any other task(s) assigned or as and when required by the Project Officer.
