At least 3 years of secretarial experience with complete command on computer skills especially MS Word, MS Excel and PowerPoint as well as proficiency in written and spoken English.



Recognizing the need for a comprehensive system for developing, managing and utilizing environmental information for informed decision making, the Ministry of Environment has included “Establishment of Environmental Information Management System” as a key component of National Environmental Action Plan Support Programme (NEAP-SP) which is being implemented with the assistance of UNDP and donor agencies to support realization of the National Environmental Action Plan (NEAP). The project has been designed to address issues relating to availability of timely and accurate environmental information in Pakistan. The NEIMS when implemented will facilitate informed decision making Environmental Management Information System for different areas of environment. EMIS will be a very powerful resource in planning different development projects of Pakistan and will provide help to different departments including Forests, Agriculture, Communication, Climate, Town Planning, and Industries etc.
Web based EIMS application will develop to provide useful information for planners and researchers in the Environmental & other related field
The Project Secretary will be responsible for providing secretarial support to the Project Administrative team, particularly to the Project Manager, NEIMS in running day to day operations of the administration. He/She will report the Project manager and will close in close collaboration of other team members.
The terms of reference for the position include the following duties:

Making logistical arrangements to ensure smooth operations, including maintenance of logbooks of project vehicles
 Carrying out typing works including reports, memo, general correspondence etc
 Attending phone calls especially on exchange/PABX
 Arranging hotel and flight reservations for project staff
 Receipt and distribution of all incoming mail and dispatching of outgoing mail
 Managing appointments and meetings including visitor’s calls etc.
Duties as a storekeeper for all purchases and Procurement of office stationery including maintaining record of fax/photo copier usage.
 Prepare multimedia presentations and take notes at the meetings.
 Prepare monthly visitor's list and maintenance of their contact details
 Maintain filing system of the project and
Any other duties as assigned by the Project Manager.
