At least 2 year of secretarial experience which has provided a sound knowledge of clerical practices and procedures; demonstrated experience with UNDP administrative rules and regulation; demonstrated experience with the UN system and with government structures and systems are additional assets.


Under the overall supervision of the UNAIDS Sr. National Programme Officer, performs a variety of Secretarial and administration/logistic of the UNAIDS/Pakistan office:
 Classifies and code material to a number of subject matter areas and maintains office files;
 Operates various office equipment (computer, printer, fax, photocopy machine), and facilitates their maintenance as required;
 Prepares correspondence and information packages in accordance with standard office procedures;
 Assists in the arrangement of meetings and production of minutes;
 Assist UNAIDS/Pakistan staff with administration/logistic procedures as required;
 Responsible for purchase of office stationery and day by day requirements;
 Responsible of handling UNAIDS/Pakistan incoming and out going mail;
 Make appointments, hotel & travel arrangements for mission and consultant coming to Pakistan;
 Assist with senior staff to publishing of annual UNAIDS NGOs directory & reports;
 keep update record of address & telephone numbers of NGOs government organization, research institute, donors and other national and international organization;
 keep update record of all information material and publication of UNAIDS documentation center;
 Responsible for dispatching information material best practiced documents to UNAIDS counter part organization;
 Undertakes reception and public relations duties in coordination;
 Keep track of Electronic documentation; and
 Performs other duties as required.
