Description:
 

Background

The Election Commission of Pakistan and several donors expressed a strong interest in ensuring coordinated support to the next elections. UN/UNDP and several donors undertook an assessment of the environment within which the next elections will take place, with a view to identifying the needs for technical assistance. In light of the findings and recommendations of the assessment missions, Support to National Elections in Pakistan has been formulated to support a free, fair and transparent electoral process. The project would be implemented using the UNDP Direct Execution (DEX) arrangements under the supervision of Project Steering Committee (PSC).
Description:

Under the overall guidance of Project Manager and under the direct supervision of Admin Officer, the Admin Assistant will be responsible for:

Scope of Work:
1. Screen all the official project correspondence, drafting and putting up their replies thereof in rough and final form besides taking and transcribing dictation.
2. Assist in preparation of reports.
3. Maintain and update all project files and records including those of personnel.
4. Assist in ordering/procuring of equipment and supplies and their follow-up.
5. Control all project stores and maintain their relevant records including inventories for all the expendable and non-expendable assets.
6. Assist the Project Manager and Admin Officer in controlling the movement of project transport and make necessary logistic arrangements for official movement of project personnel in the project area.
7. Issue POL for project vehicles on a day to day basis.
8. Check vehicle log books to ensure proper maintenance on a day to day basis.
9. Carry out routine maintenance and repair of project vehicles.
10. Maintain POL and repair/maintenance register for each project vehicle.
11. Perform general administration responsibilities, supervise activities concerned with office maintenance, security and similar services.
12. Arrange meetings as required and take minutes of the meeting.
13. Carry out any other special assignment given by the Project Manager and Admin Officer.

YesCORE SKILLS Excellent  Can work on all the applications of MS Office, including Word, Power Point, Excel and Access. Typing speed of around 45 w.p.m. Ability to type in English and Urdu language. Designing ability for brochures. Can manage filing systems in a database.
