The relief related response to the 8 October 2005 earthquake in Pakistan has been acclaimed internationally as a success, avoiding the much feared second wave of death.  The Government of Pakistan, the global humanitarian and donor community and the communities affected by the earthquake have faced challenges of colossal proportions during the relief phase.  The disaster response was made possible with the coordinated efforts of all parties concerned.  UNDP has already played an important role during the relief phase, focusing its efforts on meeting the most urgent needs of the displaced populations and on developing the Government’s capacity to manage the national and international response.  The combination of rapidly deteriorating weather conditions, extraordinary logistical challenges in reaching hundreds of thousands of people scattered in the mountainous areas, and the shortage of winterized shelter were overcome during the relief phase.

UNDP is seeking to recruit an Admin Assistant works in close collaboration with the field staff in the Field Office as required exchanging information and supporting programme delivery.

Terms of Reference: Admin Assistant

Under the overall supervision of Field Manager, the Admin Assistant would perform the following tasks.

Screen all official project correspondence, drafting and putting up their replies thereof in rough and final form besides taking and transcribing dictation.

Assist in preparation of reports.

Maintain and update all project files and records including those of personnel.

Assist in ordering/procuring of equipment and supplies and their follow-up.

Control all project stores and maintain their relevant records including inventories for all the expendable and non-expendable assets.

Assist the Field Manager in controlling the movement of project transport and make necessary logistic arrangements for official movement of project personnel in the project area.

Issue POL for project vehicles on a day to day basis.

Check vehicle log books to ensure proper maintenance on a day to day basis.

Carry out routine maintenance and repair of project vehicles.

Maintain POL and repair/maintenance register for each project vehicle.

Perform general administration responsibilities; supervise activities concerned with office maintenance, security and similar services.    

Carry out any other special assignment given by the Field Manager.
