Experience:

At least 3 years of relevant experience. Preference will be given to those having worked in similar Projects and are familiar with UNDP financial procedures.
Excellent interpersonal, communication and computer skills.

Description:
 

Under the overall guidance of the National Programme Coordinator and direct supervision of Community Development Supervisor (administrative purposes) and Sr. Admin and Finance Officer (technical reporting), the Admin and Finance Assistant will be responsible for the following.

Handle petty cash account and its reconciliation

Maintain financial/accounts records

Prepare daily subsistence allowance to project staff to be sent to Head Office / PMU

Prepare and maintain daily bank account position and flow of funds

Assist Admin and Finance Manager in preparing of monthly account profiles

Check/correct data entry, accounts heads (advance, payable, receivables etc).

Reconcile and analyse advances, banks, expenses and credit record.

Ensure compliance of all financial transactions in accordance with policy guidelines /
Procedures given in Project Cycle Operations Manual (PCOM). 
 
Screen all the official project correspondence, drafting and putting up their replies thereof
in rough and final form besides taking and transcribing dictation;

Maintain and update all project files and records including those of personnel;
Control project stores and maintain their relevant records including inventories for all the expendable and non-expendable assets;

Assist the National Programme Coordinator and Admin and Finance Manager in
controlling the movement of project transport and make necessary logistic arrangements
for official movement of project personnel in the project area

Issue POL for project vehicles on a day to day basis

Check vehicle log books to ensure proper maintenance on a day to day basis

Carry out routine maintenance and repair of project vehicles

Maintain POL and repair/maintenance register for each project vehicle

Perform general administration responsibilities, supervise activities concerned with office
maintenance, security and similar services;     

Carry out any other special assignment given by the National Programme Coordinator
and Admin and Finance Manager
