Description:

Devolution Trust for Community Empowerment (DTCE) is a registered entity, which aims at creating an enabling environment for citizen participation and community empowerment in Pakistan. Duties and Responsibilities

The Office Assistant will perform day-to-day administrative and logistical duties in order to provide assistance to DTCE directorates. Main responsibility of Office Assistant is to facilitate DTCE teams in implementation of project activities by providing necessary logistical and administrative inputs in time.

As an Office Assistant, He/She would perform the following tasks:

To keep  record of photocopier usage by keeping a track record through photocopy request form, duly approved by the concerned directorates;

To operate photo-copier machines and keep record of maintenance and photocopy administration; to operate binding machine i.e. spiral binding, ring binding etc.

To provide clerical support to DTCE staff;

To  assist the concerned staff in preparing of mailing envelopes and to ensure that the mail has been delivered;

To prepare an address database, consists of complete mailing addresses, telephone, fax and mobile contact numbers of relevant organizations, individuals and agencies, which would be helpful in order to perform day to day administrative matters;

To perform logistical arrangements for the project field operation teams, as and when required;

To facilitate the Administrative Officer/National Project Manager in the process of recruitment and extension of staff contracts;

To undertake other duties related to project operational activities on “as and when required” basis.

To be responsible for inventory management of the concerned unit of both expendable and non-expendable project items;

To provide administrative support in relation to logistical, financial and administrative matters of the field campaigns, conferences and seminars with the close coordination of Administrative Officer and National Project Manager;

To conduct local market surveys and prepare procurement requests in accordance with PCOM by providing accurate information on prices, specifications, freight and source of local manufacturers/authorized dealers/ suppliers etc as and when required.

To perform logistical arrangements for the project field operation teams, as and when required;

To keep a track of all incoming and outgoing correspondence in and ensure follow-up action within the project;

To undertake other duties related to support DTCE teams on “as and when required” basis.
