Experience:

Minimum 3 years of relevant experience. Strong computer skills, especially in MS word, excel and power point, familiarity with Internet. Good communication, administrative and organizational skills. Knowledge of UNDP procedures and policies will be an asset. The ideal candidate would possess strong personal motivation and ability to complete tasks within strict and tight deadlines.

Description:
 

For Official Transport, determine priority of works, plan and prepare work orders, assign work including establishing roster for drivers.  Coordinate with requesting offices in case of changes in requirements and suggest alternative or interim solutions.  Includes managing issuance of bus transportation passes and review of route surveys and ensuring validity of all documents for vehicles including custody of keys.

In consultation with the relevant contractors plan, schedule, and coordinate preventative maintenance services of official vehicles and buses and monitor that they are adhered to. Try to solve issues of delays, sub-standard work or other problems related to the contractors directly with them, and if not successful, or if repeated, bring them to the attention of the supervisor(s).  Handle all invoices for verification.

Coordinate with contractors performing work to ensure that quality of services performed by the contractors is in accordance with set terms and conditions, codes and standards, health and safety regulations and objectives. 

Ensure that all relevant data is recorded in the fleet management database. Participate in the analysis of reports and statistics generated from this data base and propose remedial actions or plans to negative trends thus detected. 

Handle organizational requirements related to protocol matters eg. book signing events, meet and greet at airport dignitaries, organize events and parties

Provide inputs and cost estimates related to the biennial work-plan and budget and prepare plan related to the Unit accounts.  Prepare expenditure tables as well as charts of general expenses for transport costs and logistical support needs.

Within the area of work, suggest ways to institute control, as well as methods to improve services to clients and reduce cost to the United Nations.

Participate in the preparation of terms of reference for new contracts and in associated evaluation committees, and provide the administrative and technical support to the supervisor(s) related to all aspects of the contracts.

Perform other duties as required, such as but not limited to covering for absent colleagues.
