Description:
 

Duties and responsibilities:

Under the general supervision of the Programme Coordinator and direction supervision of the Admin/Finance Officer, the incumbent will:

Assists in the financial aspects of estimates, tenders, procurement and other financial functions of the Water and Agriculture sectors of the project.

Check bills for accuracy, prepare necessary documentation and submit to finance section for processing and or onward signature of the PC.

Type a variety of reports for the specialists, check for accuracy and proof read.

Maintain files in relation to the area of operations and financial management in accordance with the standard procedures.

Assist A&FO in efficient planning of WFP food stamps, distribution of the same to the field office.

Acquire financial reports from the field offices on WFP funds status and prepare a provincial consolidated report in close consultation with the A&FO for onward transmission to the WFP sub-office.

Type a variety of correspondence, reports and other documents for the sectoral specialists/A&FO, on computer in MS Word or Excel, or on electronic typewriter, as appropriate, from dictation, notes or draft documents.

Draft/compile routine letters and correspondence for signature by the PC and follow-up of matters with the specialists and others involved in project implementation.

Maintain a follow-up system where necessary for all incoming and outgoing correspondence, ensuring verbal undertakings are followed up in writing and appointments reconfirmed.

Maintain a Programme filling system in consultation with A&FO and with the assistance of the other colleagues.

Perform any other relevant duties that may be assigned by the PC, A&FO, National Experts or other senior colleagues from time to time.
